Use an invoice when you're ready to bill
Use the invoice generator once the work is delivered or the charge is confirmed. If you're still pricing the job, start with the Quote Generator instead. If payment is already overdue, follow up with the Invoice Reminder Generator, and once paid, confirm it with the Receipt Generator.
Frequently asked questions
What should a UK invoice include?
A UK invoice should show your business name and address, an invoice number, invoice date, an itemised description of goods or services, the amount due, and payment details. If you charge VAT, HMRC requires a "VAT invoice" that also shows your VAT registration number, the VAT rate, and the VAT amount — this generator adds that title automatically once you enter a VAT number.
Should I use an invoice or a quote first?
Use a quote first when the client has not approved the work or price yet. Use an invoice once the work is delivered, or the price is confirmed, and you are ready to request payment.
Do I need to charge VAT on my invoice?
Only if you are registered for VAT. Registration becomes compulsory once your VAT-taxable turnover exceeds £90,000 in any rolling 12-month period. Below that you can register voluntarily. If you are not registered, leave VAT set to "None" — check your position with the VAT Calculator before enabling the 20% standard rate.
